Conference Visa ('C' Visa)

If you are applying for a conference visa, this category is intended for individuals traveling to attend conferences, seminars, workshops, or similar professional or academic events. A conference visa is granted for a specific event and duration and is subject to eligibility criteria and verification by the concerned consular authority.

We are Alankit Global, assisting applicants in Germany with the preparation of conference visa applications. Our role is limited to application preparation and facilitation support only. We do not influence consular decisions or processing outcomes. The final assessment, approval, or refusal of visa applications remains solely under the authority of the concerned consular office.

Follow the below steps in order to apply
  1. Create an account (Register yourself) on Alankit Global Service Centre website. Click Here to register.
  2. Fill the Govt of India's Online Visa Application Form. Click Here to access the Online Visa Application Portal.
  3. Select the REGULAR/PAPER VISA APPLICATION option.

  5. Ensure that you select the appropriate option for the dropdown "Indian Mission/Office" as per your correct jurisdiction. To know your jurisdiction, refer to the "Jurisdiction" section.
  6. Print and sign your application.  
  7. Book your appointment online at Alankit Global Service Centre website. You can choose a convenient date and time to visit the Alankit Global Service Centre for your application submission. Click Here to book your appointment online.  
  8. Ensure that you have your passport, photographs and all other supporting documents, exactly as per the "Documents Checklist" section. 
  9. Visit the Alankit Global Service Centre, as per your jurisdiction. The address and location of the centre will be clearly mentioned in the appontment letter. 
  10. Kindly ensure you reach the centre 15 minutes prior to your appointment time. 
  11. Submit your application and deposit your fees at Alankit Global Service Centre. You can check the fee for this application under the "Fee Details" section. 
  12. Enroll for Biometrics at Alankit Global Service Centre (if required)
  13. Your application submission process is now complete! You can avail our Courier service to get your passport delivered to your doorstep!

How to apply at a glance:

Required Documents:
  1. Printed copy of the duly filled online application form atthe Indian Government's Visa Portal.  (Applicant should sign the application on first page below the photo and on the last page at designated place).
  2. Original Passport with more than six months validity as on date of expected date of journey and 2 blank pages along with a photocopy of the personal information page(s).
  3. 01 recent photograph (51mm x 51mm). Application with wrong photo specifications may lead to rejection the application Photo specifications can be seen here .
  4. Self-attested City Registration Certificate (Meldebescheinigung) of your current German address is mandatory for all types of document processing
  5. Additional Form (Download Form) & Documents for Passport holders other than German nationals including proof of valid German Residence Permit / Visa:
  6. Invitation letter from the Indian conference/seminar organizer on the letter-head of the Institution/Company.
  7. Letter from the institution in Germany to which the applicant is representing.
  8. Political clearance from the Ministry of External Affairs.
  9. Clearance from the Ministry of Home Affairs (if applicable).
  10. If holding Stateless Passport: Last 03 months bank statements showing sufficient funds for stay in India.
  11. Proof of payment of the applicable visa fee (if made through bank transfer).
  12. Under Family details:The applicant must specify the previous nationality of both the parents. Applicant should not leave that blank.
  13. Photograph should be mandatorily uploaded before submitting the online application form.

Important Advisory/Points
  • Journalist travelling to India for any purpose may apply for Journalist Visa only.
  • Tourist Visa applicants travelling by Ship, need mandatorily biometrics.
  • All foreigners intending to visit India are advised to check the health regulations at https://www.mohfw.gov.in/ before travelling to India.
  • For immigration related queries like travelling with pet animals, traveling with medicine etc., please check with the airlines or visit at https://www.cbic.gov.in/entities/internationalTravellers.
  • Stateless persons holding travel documents may also apply for visa however they are advised to apply atleast 02 months prior of desired visit as the visa takes time.
  • Diplomatic/Official passport holder are advised to contact directly to the concerned Indian Embassy/Consulate for diplomatic/official visa.
  • All foreigner intending to visit India are advised to carry Yellow Fever Vaccination Certificate if coming from Yellow Fever endemic countries or with history of travel to Yellow Fever endemic countries in the last 6 days. Any Person (excluding infants below the age of six months) arriving by air or sea or land without a certificate of vaccination is to be detained in isolation for a period of 6 days.
  • All foreigners intending to visit in Restricted/Protected areas are advised to apply for the permission at https://indianfrro.gov.in/eservices as only the visa and passport are not sufficient to travel in these areas. The normal time processing for RAP/PAP permit is 06-08 weeks.

Gratis Conference visa

Afghanistan, Bangladesh, DPR Korea, Jamaica, Maldives, Mauritius, Mongolia, Myanmar, South Africa and Seychelles

Visa Free Countries

Nepal and Bhutan (Nationals of Nepal and Bhutan do not require Visa to enter India. However, Nepalese Nationals require Visa if they enter India from China which is granted on Gratis Basis).

Visa –on-Arrival

Japan, South Korea and UAE (Only for such UAE nationals who had earlier obtained e-Visa or Regular/paper visa for India)

To ensure safe and timely return of documents, courier service is the standard mode of delivery for all applications submitted to Alankit Global Service Centre’s.

Courier Charges

  • €26 – Within Province (with Insurance & Tracking)
  • €33 – Outside Province (with Insurance & Tracking)

All applications, especially postal applications are processed with return courier service to avoid delays and ensure secure delivery.

Bank Transfer Charges

An additional €0.50 applies for payments made via bank transfer, to cover transaction fees.

FAQ's for Conference Visa
  1. Who are eligible for a Conference visa?
    • A Conference visa is granted to a foreigner:
      1. Whose sole objective of visiting India is to attend a conference / seminar or workshop being held in India.
      2. Who holds a valid passport, and a re-entry permit if that is required under the law of the country of nationality of the applicant.
      3. Who is not a persona-non-grata to the Government of India.
      4. Who is not considered an undesirable person and is not the subject of a negative list or any warning circular or other restrictive list.
      5. Who is a person of assured financial standing (the production of a return ticket and availability of sufficient money to spend during his stay in India may be considered sufficient for this purpose).
  2. What is the procedure for grant of Conference Visa?
    • Read the below mentioned procedures carefully:
      1. Indian Embassy and its Consulate can issue Conference visas to delegates on production of an invitation to a conference / seminar / workshop being organized in India by a Ministry or Department of the Government of India, State Governments or UT Administrations, Public Sector Undertakings, Central Educational Institutions, Public Funded Universities (list of such institutions are available on NIC's website and the websites of the University Grants Commission and Association of Indian Universities), or an organization owned and controlled by the Government of India or any State Government / UT, United Nations or its specialized agencies. Missions will process the cases for grant of visas and after satisfying themselves, grant visas to the participants of such events.
      2. If the conference / seminar / workshop is sponsored by an NGO or a private institution, the Embassy / Consulate will scrutinize the background of the NGO / private institution and grant visa to the participants. If the Embassy / Consulate concerned has any doubt about the background of
        the sponsoring NGO / private institution, the matter will be referred to MEA and MHA for verification of the background of the NGO/private institution concerned.
      3. In respect of all international sports events, the organizer has to submit the proposal for holding the international sports event to the Ministry of Youth Affairs & Sports for prior clearance and the Ministry of Youth Affairs & Sports will refer the proposal to the Ministry of Home Affairs and the Ministry of External Affairs with their recommendations. Visa for the participants of international sports event will be issued by the Indian Embassy / Consulates subject to production of clearance of the Ministry of Youth Affairs & Sports, political clearance from the Ministry of External Affairs and security clearance from the Ministry of Home Affairs.
  3. What is the duration of the Conference visa?
    • Conference visa will be issued for the duration of the conference and the travelling time. However, the delegates coming to attend conference etc. in India can combine tourism
      with attending the conference. At the discretiono of Indian Embassy / Consulates, visa will be granted for the required period. Such visa shall not exceed maximum validity of Tourist Visa, i.e. 6 months subject to usual conditions applicable for grant of the Tourist visa.
  4. I have to participate in a Conference/Seminar/Workshop in India. Which visa should I apply for?
    • Applicant should apply for a Conference Visa to enable them to participate in the Conference/Seminar/ Workshop along with invitation letter, details of the Conference etc. Clearance from the competent authority in India is required.
  5. What are the other necessary documents required for e-Conference Visa other than the Passport?
    • For Conference Visa, following are the required documents, other than the list of regular documents needed for an Indian visa:
      • Invitation from organizer (mandatory)
      • Political clearance from Ministry of External Affairs, Govt of India (mandatory)
      • Event clearance from Ministry of Home Affairs, Govt of India (optional)
